Event Management

Concept

The first step in planning a successful event is defining the event concept. Start by considering the purpose of the event. A helpful approach is to think about the most memorable events or concerts you’ve experienced. Even if your event isn’t a concert, this will inspire the kind of lasting impact you want to create for your attendees.

Reflect on an event that left a lasting impression on you—that’s the feeling you want to replicate with your own event.

Ask yourself: Why are you planning this event? What is its purpose?

Your event might be designed to entertain, raise funds for a charitable cause, or serve as an educational seminar. Once you’ve established the ‘why,’ it’s time to identify your target audience. Who will benefit most from this event? Knowing this will guide you in shaping the ‘what’—the content, such as speakers, performances, activities, and catering.

Lastly, determine the ideal date and venue for your event to ensure it’s set up for success.

Coordination

Once you’ve conceptualized your event, the next step is coordination.

Begin by selecting a theme or central idea for the event. The theme will guide important decisions, including the choice of venue, decorations (if needed), and other event essentials, such as hiring speakers or securing audio/visual equipment.

Be sure to reserve the venue and date(s) well in advance. Stay flexible in case your preferred date or location isn’t available. Once these are locked in, you can start promoting the event to your target audience.

At this stage, it’s crucial to delegate tasks to your team. This may involve contacting speakers or performers, securing the necessary technology and equipment, and managing transportation, catering, and marketing logistics.

Additionally, collaborate with an accountant or bookkeeper to establish the event budget. Ensure that each team member stays within their budget to avoid overspending. Clear financial planning will keep the event on track and within its financial limits.

Control

This stage of event management is often overlooked but is crucial for a successful event. The best way to manage this is by conducting a thorough run-through.

Ensure everything is on track by visiting the venue beforehand. Check that there’s enough space for all confirmed attendees and that the catering setup will accommodate the expected number of guests.

It’s also essential to stay proactive and plan for any last-minute changes. For example, if a speaker cancels, do you have a backup? If the catering falls through, have you lined up alternative options?

Consider potential budget issues as well. Have a contingency plan in place for worst-case scenarios so you can handle any unexpected challenges. By preparing for these possibilities, you’ll maintain control over your event and ensure its success.

Culmination

This is the big day—when the event takes place. On this day, you and your team must be fully prepared and attentive to every detail.

Start by developing a detailed itinerary for everyone involved. Ensure the team has early access to the venue for setup and, if possible, a quick run-through of the event before guests arrive.

As the event unfolds, closely monitor the itinerary to ensure everything stays on schedule. If one speaker is on stage, confirm that the next is prepared to follow. Similarly, while the reception is checking in guests, confirm that the caterers are on track to serve food at the scheduled time.

In short, stay vigilant and responsive throughout the event to ensure everything runs smoothly.

Closeout

Even after a successful event, there’s still important work to be done. First, ensure all payments and contract terminations with vendors, caterers, speakers, and other service providers are finalized.

Next, provide feedback to your team. Acknowledge their hard work if they performed well, and address any issues immediately to ensure improvements for future events. Don’t forget to ask for their feedback on your performance as an event manager as well.

Lastly, follow up with speakers, performers, vendors, and caterers to thank them and gather their input on the event. Also, reach out to your attendees to collect their feedback. This will help you improve and plan even better events in the future.
